MONIES
Any monies collected
will go to the general fund unless otherwise designated.
Checks are preferred
for all transactions as this makes record keeping easier.
Any member (i.e.,
officer, correspondence group leader, Area Interest Group (AIG) Representative,
etc.) collecting money for the Chapter needs to submit a written record
to the treasurer for cash and checks received. This written record will
consist of the name of the person paying and/or submitting, the date,
the item/purpose of the payment, and the amount.
All monies received
for kits used at Baton Rouge AIG meetings, workshops, etc. will be turned
in to the treasurer with a written record. Teachers will be reimbursed
for the kits by a check issued by the Chapter.
Each Satellite AIG
will be "seeded" with $50 to be used for supporting Satellite
AIG meeting programs. All monies received for sales and kits used at
Satellite AIG meetings will be turned in to the Satellite AIG Representative
with a written record. When the amount in the "seed" fund
exceeds $75, the Satellite AIG Representative will submit the excess
money over $50 to the Treasurer. Teachers will be reimbursed for the
kits from the "seed" fund.
Receipts for monies
spent for Chapter functions must be turned in to the Treasurer within
sixty (60) days of the event in order to receive reimbursement.
CASH
DISBURSEMENTS
All checks require
the signature of the President or the Treasurer.
SPONSORSHIP
The Chapter will
not sponsor individuals who teach for personal profit due to legal ramifications
of our non-profit status.
Louisiana Lagniappe
Chapter of Embroiderers' Guild of America is a nonprofit, educational
organization. Therefore, all Chapter events will be free of commercialism.
No sales benefiting individuals or shops may take place proceeding,
during, after any event, or at the event site unless the Board of Directors
has given approval in advance. Such approval will be given only when
the Board determines that a unique opportunity exists to make available
to the general membership needlework supplies that are not readily available
locally.
BUSINESS/BOARD
MEETINGS
Business/Board Meetings
will be held quarterly. The Fourth Quarter annual meeting will be held
on a Saturday morning. All dates, times and any changes will be published
in the newsletter. All members are strongly encouraged to attend these
business meetings, as this is the only time that all Chapter Members
discuss and vote on issues that affect Chapter monies and planning.
AREA
INTEREST GROUPS (AIG) AND STITCH-INS
All members are
welcome to attend all of the following Chapter functions:
Second Thursday
of each month at the Jones Creek Library at 6222 Jones Creek Road, Baton
Rouge, LA, from 6:30 P.M. to 9:00 P.M.

in time.
WORKSHOPS
Workshops are open
to members by reservation and must be self-supporting unless otherwise
voted on by the General Membership. Reservation is made by payment of
the required fee. At the discretion of the members and teacher, it may
be opened to non-EGA members. An additional fee may be determined for
non-members at the discretion of the Board. In order to participate
in a workshop, a student must pay the registration fee.
The Board of Directors
will determine the number of required participants for each workshop.
Twelve (12) is recommended. The participant will receive a registration
refund if at least thirty days notice is given, unless this causes less
than the required number of participants registered for the workshop,
in which case no refund will be made. A registration fee refund may
be made for cancellations less than thirty days before a workshop only
if a qualified substitute is found. A full refund will be made in case
of teacher cancellation.
Registrants will
be responsible for any non-refundable kit fees.
The Executive Committee
has the right to waive the minimum number of participants if:
A. Those registered
for the workshop are willing to share the additional expense of keeping
the workshop self-supporting.
B. Canceling the
workshop (because of insufficient enrollment) would result in a net
loss of funds to the Chapter (i.e., cancellation fee to teacher, non-refundable
airline tickets, etc.).
To encourage Participation,
workshops must be held at least 60 days apart. A workshop is defined
as a project or series of projects held over a defined time period.
Information about workshops will appear in the newsletter with instructions
and deadlines and will be publicized at meetings.
The hostess for
the visiting teacher will receive $50.00 per night of the teacher's
stay or a refund of the registration fee whichever is greater. The hostess
will be responsible for providing all teacher meals during the teacher's
stay.
No smoking, food,
or drink is allowed in the workshop or exhibit area.
Auditing classes
is not allowed.
GROUP CORRESPONDENCE
COURSES
A participant must be a member of EGA. Reservation is made by payment
of the required fee. There will be no refunds unless the course is canceled.
A minimum of ten
registrants is recommended to apply for a Group Correspondence course.
The Executive Committee may waive the recommended minimum number of
participants if registrants are willing to share the remaining registration
payments. Members must pay the booklet fee at the time of registration.
Cost of mailing books and/or kit materials is included in the registration
fee.
Group Correspondence
Course information and registration deadlines will be publicized in
the newsletter and at meetings.
For information
about coordinating a Group Correspondence course, see "DUTIES -
GROUP CORRESPONDENCE COURSE COORDINATOR" in "DUTIES OF OFFICERS
AND COMMITTEES".
ISSUED
EDUCATION COUPONS
The Board may decide
each year to offer an education coupon. If an education coupon is offered,
the following rules apply.
A coupon may be
used only once and in its entirety. If the fees for an event are less
than the value of the coupon, the member forfeits the difference.
Coupons may be used for any EGA sponsored education event. This includes
LALAG sponsored professional and member taught workshops, group and
individual correspondence course registration and booklet fees, and
seminar registrations. A coupon may be used for workshop kits if and
only if the kit fees are paid to the LALAG treasurer.
Coupons do not cover AIG, correspondence, or seminar kits; transportation
costs; room and board while attending an education event; or dues.
Coupons are non-transferable.
For reimbursement of seminar registrations, the member would send a
copy of her class acceptance to the treasurer along with a check request.
If the member subsequently cancels, the member would be expected to
reimburse the chapter the value of the coupons used. Any non-refundable
fees are the responsibility of the member.
If a member is due a reimbursement for an event she used her coupon
for, she would receive the coupon(s) used as reimbursement. She would
not receive cash.
If a workshop hostess has redeemed her coupon for that workshop, she
may choose to receive her coupon back or the value of the redeemed coupon
in cash per night the teacher spends in the hostess' home. If the hostess
chooses to receive the cash, she forfeits her coupons.
If a correspondence course hostess has redeemed her coupon for that
correspondence course, she may choose to receive her coupon back and
pay cash for her booklet fee, or use the coupon for the booklet only,
forfeiting any difference between the booklet fee and face value of
the coupon.
EARNED EDUCATION COUPON
The Board may decide
each year to allow members to earn additional education coupons. If
allowed, the following rules apply.
Any member in good
standing may earn additional education coupons.
As long as a member is in good standing, and the points program is in
operation, points will accrue from year to year.
One $20 education coupon will be awarded to a member for each 10 points
earned. Earned education coupons will expire one year from the date
of issue.
There is no limit on the number of coupons that may be earned.
Points may be earned in two different ways, one by service to the Chapter
and the other by increasing Chapter revenue.
The Board may vote to discontinue the points system at any time. If
such a decision is reached, all points accrued will be null and void.
Report approved Service points to an AIG, who will in turn report the
points to the Vice President.
Service points to be awarded when service is completed. (Example: Board
service points will be awarded in November at the completion of the

and teaching points will be awarded at the completion of the class.)

Forms will be available from the AIG's or other Board members.
The Vice President will report the number of service points earned by
members to the Treasurer in a timely manner.
